Officers
President, Robert Barr: Set the meetings and oversee volunteers & coordinators.
Treasurer, Alicia Evans: Keep track of income and expenses, write checks, yearly IRS filings, insurance payments.
Recording Secretary (Open): Take minutes at BOPO meetings. Minutes get sent to all regular attendees and the directors, and they get posted to the website.
Fundraising & Donations
Patron Donations, Katrina Heinzen: Solicit annual patron donations and send letters of acknowledgement. Adds new names to the annual mailing and ensures acknowledgement in newsletters.
Fundraising Event Coordinator (Open): Plan a major event every other year (when there is no tour) in order to raise funds for the next year’s tour. Several smaller fundraisers can be done annually can substitute for a major event. Determine big ticket raffle item for the year. Tickets to be sold starting at winter concerts and winner drawn at the final IMD concert (before jazz night and chamber music)
50/50 Raffle, Jeff Donnelly: Organize 50/50 raffle at all home football games and before concerts. Set up tables, solicits volunteers to sell tickets and any merchandise BOPO might have. Send list of volunteers to Joe D’Amato before every game so they can receive free admission to the game.
Election Day Bake Sale, Sharilee Walker: Organize the bake sale on election day, including requesting table in advance from the Heights Libraries main branch, as well as requesting volunteers to provide baked goods.
Material Donations Coordinator (Open): Solicit donations from current families and community for donations of gently used method books, concert attire (marching band shoes and t-shirts, for example), instruments, rests, and new reeds. Work with CHUH music teachers (across district) to determine best distribution. Solicitations for donations can be made in weekly updates, newsletters, web site, and on social media community pages.
Fundraising Sales Coordinator (Bulb, Coffee/Team, Spirit Wear Sales), Gina Gillombardo: Set up and promotes fall bulb sale, winter coffee sale, and spring Spiritwear sales. Work with companies to set up sales, communicates information to families and BOPO Supporter List, and collects proceeds for delivery to treasurer.
Marching Band, Concert, Awards Night, and Tour Coordinators
Marching Band Snacks & Senior Night Coordinator, Summer Watterson: Coordinate water and snacks for our marching band and the visiting band for the home football games. This includes Homecoming Parade and Memorial Day Parade/Ceremonies. BOPO reimburses the costs of snacks. Senior Night: Purchase and distribute flowers on senior night to seniors. Middle School Band Night: Communicate with Middle School and High School Band Directors about support.
Marching Bank Uniform Fittings, Kate Macleod: Organize fitting sessions during marching band camp and gets parent volunteers to assist. Oversee uniform repairs as needed before uniforms distributed to students. Collect bond/cleaning forms and fees from students after fittings. Assist with uniforms before and after football games and requests volunteer help as needed.
Concert Attire Fittings, Christine Woo: Organize fitting and distribution of concert wear - no sewing skills needed! Starts in early October. Organize fitting sessions during ensemble practices in the school day and gets parent volunteers to assist. Oversee repairs as needed before attire is distributed to students. Collects bond/cleaning forms and fees from students after fittings. Assist with uniforms before and after concerts and requests volunteer help as needed.
Concert Reception, Gerg and Julie Mangino: Ask department administrator or directors to reserve the cafeteria and have tables set up. Ensure there are sufficient utensils, napkins, plates, tablecloths, and cups. Request volunteers for set up, service, and clean up. Request reception treats from parents. Fill water jugs that are in the storage closet and request that the kitchen in the cafeteria is opened by custodial staff. On Senior Solo nights, ask a parent to provide a cake for the student at the reception as the treat.
Awards Night Coordinator (Open): Plan and purchase gifts for senior soloists, to be distributed at IMD Awards. The past two years a professional has taken photographs of the performances and a photo has been selected and printed in metal as a gift. If a gift like this one is intended, planning needs to start well before the performance. Purchase cupcakes for all students and roses to be distributed to graduating seniors. BOPO reimburses costs on all items.
Tour Coordinator, Sharilee Walker: Tours take place every other year. Work with selected outside company to organize a tour to take place in March of the tour year, starting approximately 8-12 months before the proposed tour. Work with Directors, Principal and BOE on approvals completed in the fall. Communicates early with families concerning registering and paying for their student’s participation.
Communications
Website and Social Media Manager, Penny Neisen: Coordinate all messaging content with all volunteers throughout the school year, posting it to this website and to the Facebook account. Manages the main BOPO Google account for appropriate sharing with committee members.
Newsletter Designer (Open): Design and print "Musical Notes" newsletter for distribution at concerts (Fall, Winter, Spring), posted to website, and sent via PDF to BOPO mailing list and link to IC Messenger. Work with BOPO leadership to solicit ads for the newsletter and formats ads purchased for any of the three printings and senior shout outs from families (coordinates with web master on payment and collation of data). Compiles pictures and messages for purchased Senior Shout Outs that are placed in the Spring newsletter. Work with the Patron Donations coordinator to collect patron list for inclusion in each newsletter.
Communications and Promotions Coordinator, Eve McPherson: Write content for the newsletter that is distributed to families at the concerts. Place notifications of concerts in the Heights Observer, the Cleveland Heights Newsletter, the University Heights Newsletter, Reaching Heights. Write Senior Soloist profiles for the newsletter and Heights Observer. Other articles may be written as well to promote the activities of the department. Send concert invitations to the Superintendent, the BOE, and CHUH Mayors and City Councils. Send weekly updates via IC Messenger and monthly updates to the BOPO Mailchimp supporter list. Solicit sign ups to the Mailchimp Supporter list through BOPO updates, programs, newsletters, and social media.
